The Executive Assistant is responsible for providing comprehensive support to Ingevity's President and Chief Executive Officer (CEO) and the Executive Vice President and Chief Financial Officer (CFO).
The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the office of the CEO and CFO and serves as a liaison to the Board of Directors and the Ingevity Executive Team.
This position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.
The ideal individual for this position will have the ability to exercise sound judgment in a variety of situations, exhibit strong written and verbal communication, administrative and organizational skills, and the ability to balance their work among multiple priorities.
The Executive Assistant will have the ability to work independently on projects and must be able to work under pressure to handle a wide variety of activities and confidential matters with discretion.
How you will impact Ingevity:
Provide sophisticated calendar management, serving as gatekeeper for incoming meetings and assisting the CEO and CFO in prioritizing daily tasks, making judgements and recommendations to ensure smooth day-to-day engagements.
This position will also provide backup support to the broader executive team if needed.
Act as a liaison and provide support to the Board of Directors.
Arrange and handle all logistics for Board meetings and events, including finding and securing board meeting locations, transportation, accommodations, and meals, while adhering to compliance with applicable rules and regulations set in bylaws regarding Board matters.
Assist Investor Relations department with external meetings, conferences and earnings calls.
Complete a broad variety of administrative tasks that facilitate the CEO and CFO's ability to effectively lead the organization, including assisting with special projects, designing and producing complex documents, reports, and presentations, collecting and preparing information for meetings with staff and outside parties, composing and preparing correspondence.
Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the Offices of the CEO and CFO, including those of a highly confidential or critical nature; prioritizing and determining the appropriate course of action, exercising judgement to reflect CEO and CFO's style and organization policy.
Work closely with the CEO and CFO to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
Anticipate CEO and CFO's needs in advance of meetings, conferences, etc.
Communicate directly, and on behalf of the CEO or CFO, with Board members, external contacts, and others on matters related to CEO and CFO initiatives.
Provide a bridge for smooth communication between the CEO and CFO's office and internal departments, demonstrating leadership to maintain credibility, trust and support with senior management staff.
Complete and/or coordinate activities related to assigned special projects, assisting in establishing project timetables, action steps and status updates, following-up to ensure timely execution to meet established deadlines.
Prepare a variety of reports and/or presentations, gathering, and summarizing information from various sources as requested.
Coordinate complex domestic and international travel to include the processing of Visas and Passports.
In addition, responsibilities include working with private jet company to schedule trips to multiple site and legs of travel, managing itinerary, handling catering needs, etc.
Arrange and coordinate all logistics, catering and refreshments for meetings / event planning.
Organize and maintain filing system to ensure efficient retrieval and response.
Process invoice payments and Purchase Orders for the groups using the Coupa system.
Manage the unit's purchasing card and allocate charges as required.
Work cohesively with other administrative staff outside of department to accomplish organizational goals.
May manage other administrative assistant employees.
What you need to succeed:
Ten (10) years of administration support experience, with a minimum of 5 years supporting executives at the C-level in a high paced environment, preferably at a publicly traded company.
High school diploma required.
Bachelor's degree in Business Administration, Management or similar degree preferred.
High degree of professionalism in dealing with a diverse group of people, including Board members, senior executives, staff and community leaders.
Rigorous organizational and prioritization skills with impeccable attention to detail.
Strong ability to execute work with a diversity, equity, inclusion and belonging lens.
Ability to maintain high degree of confidentiality, with professional maturity and the ability to function independently and to work collaboratively.
Must demonstrate excellent judgment, discretion, and problem-solving skills, and the ability to interact with many cultures and seniority levels in a global organization.
Experience with private jet travel and protocol preferred.
Superior technology aptitude and advanced proficiency in all Microsoft Office applications including MS 365, Outlook, Word, Excel, PowerPoint, Teams, and SharePoint, as well as Zoom.
Strong expertise in PowerPoint with ability to create professional, sophisticated and well designed (graphic heavy) presentations.
High-energy self-starter who is adept at managing multiple projects with simultaneous time sensitive deadlines.
Ability to work flexible hours in line with the CEO and CFO's schedule.
Ownership mentality, high degree of proactivity.
Available to travel as needed for remote Board Meetings or other off-site executing meetings.
This is expected to be a minimal commitment.
This role is not eligible for employment visa sponsorship.
